As a Proposal Manager you coordinate and contribute to the creation of high quality proposals that respond to a request for proposal (RFP) or as part of a proactive pursuit of business. You partner with solutions team members to define and deliver opportunity specific proposal and bid development strategies to win bids. You support proper orchestration between cross functional teams in the development and timely delivery of the proposal output requirements to win bids.

  • 3+ years of work experience in proposal management, preferably in BPO or business technology environment
  • Studies in Communications, Journalism, Marketing or related careers
  • Proficiency in the English language; German or Mandarin is a plus

Detailed Description

    The Proposal Manager coordinates and contributes to the creation of high quality proposals that respond to a request for proposal (RFP) or as part of a proactive pursuit of business. You partner with solutions team members to define and deliver opportunity specific proposal and bid development strategies to win bids. You support proper orchestration between cross functional teams in the development and timely delivery of the proposal output requirements to win bids.

    The Proposal Manager supports all aspects of organic growth and new logo bid management in partnership with the solutions, sales, and customer relationship management teams. The role is an individual contributor who performs moderate-level tasks under established policy and precedent in support of proposal development and other sales support activities.

    NOTE: Shift dependent on location of team member and assigned solutions development team to include:
  • EMEA daytime hours to align with CET working hours of 8 a.m. to 5 p.m. CET; or
  • Philippines/India local night/overnight hours to align with U.S. working hours of 8 a.m. to 5 p.m. ET (UTC -5:00 hours autumn/winter; UTC -4:00 hours spring/summer).

Primary Responsibilities

    The Proposal Manager owns the end-to-end project management of the proposal/bid response process (RFPs, RFIs, proactive bids) from creation to final submission. Job requires original content development, information-sourcing from internal subject matter experts. and frequent use of an SFDC knowledge base to access existing content. May be asked to develop and/or update related documents including case studies, fact sheets, pricing and assumption statements, sales and site visit presentations, service descriptions, etc.; act as the single contact with solutions team members (senior managers, senior consultants, consultants, etc.) and account primes for basic RFP/RFI tasks; help create compelling, client-targeted proposal stories with the senior solutions development consultant(s) to include our solution(s) and highlight company differentiators.

    Application of preferred writing styles, protocols, and generally accepted business writing styles including grammar, structure, and format for each client/prospect facing document; responsible for all document layout and graphics requirements. Assist with re-writing and updating existing “standard” content including collaboration with subject matter experts (SMEs) to also create new material as needed. Focus on creating consistent “voice”, bid/response formats, and brand standard adherence for all documents; proofread and edit as necessary; manage bid schedules; perform other miscellaneous writing and documentation tasks as assigned. May be asked to support online bid submission via e-procurement tools such as Ariba or Workday/Scout RFP.

    Ancillary proposal operations activity support includes content harvesting; organizing, and maintaining an up-to-date library of proposal content, presentations, case studies, proposal responses, and other bid-related references; using tools including Salesforce, Google Workspace, Microsoft Office, Adobe.

    The role requires a strong understanding of BPO, CCO, DX services, and processes or willingness to acquire this knowledge. Must be able to self-manage setting and managing content schedules and deadlines.

Specific qualifications

  • Self-starter with the discipline to work from home without distractions
  • Proficient in Google Workspace and Microsoft Office products with solid word-processing skills in the areas of documentation, annotation, editing, grammar tools, formatting, etc.
  • Intermediate to advanced experience with Google Slides and Microsoft PowerPoint templates with basic graphic design ability is preferred
  • Good attendance and schedule adherence history
  • Leadership skills
  • Accuracy, focus, initiative, and ability to meet tight deadlines are imperative
  • Analytical, detail-oriented, excellent proposal management skills, able to work unsupervised and on ad hoc teams
  • Friendly, genuinely pleasant, ability to collaborate with various teams and SMEs but also work independently
  • Open to team improvement projects
  • Possess a willingness to learn and receive coaching
  • High sense of urgency
  • Willing to take ownership and able to deliver impeccable results working under pressure
  • Manage multiple tasks simultaneously sometimes switching priorities and responding to rapid turnaround deadlines
  • Proposal or sales writing skills and experience are preferred
  • Must communicate clearly, concisely, and professionally
